Account & Data Deletion

NextzChat gives you full control over your data. You can delete your account and have your personal data removed at any time.

How to Delete Your Account

  1. Open the NextzChat app on your device.
  2. Go to Settings (tap the gear icon).
  3. Tap Account.
  4. Tap Delete My Account.
  5. Confirm deletion when prompted. You will receive a verification code to your registered email or phone number.
  6. Enter the verification code to finalize the deletion.

What Happens When You Delete Your Account

When you delete your account, the following actions are taken immediately:

Profile Deletion

  • Your profile is permanently deleted immediately and is no longer visible to other users.
  • Your display name, profile photo, and bio are removed from public view.
  • You will no longer be able to sign in with your account.

Organization & Group Removal

  • You are removed from all organizations and your organization role assignments are deleted.
  • You are removed from all groups across every organization.

Associated Data Cleanup

The following data linked to your account is explicitly deleted:

  • Tasks assigned to or created by you
  • Shift assignments
  • Leave requests
  • Daily reports
  • Attendance records
  • End-to-end encryption keys (device keys and group keys)
  • Push notification tokens and device information
  • Session and authentication data

Cascade Deletion

Additional data linked to your account through foreign-key relationships (e.g., expense entries, event RSVPs, receipt attachments) is removed automatically via database cascade rules.

Important Details

  • Once confirmed, account deletion cannot be reversed. Your data cannot be recovered.
  • Deletion processing begins immediately upon confirmation.
  • If you are the sole Owner of an organization, you will need to transfer ownership or delete the organization before deleting your account.
  • End-to-end encrypted messages that have already been delivered to other group members' devices will remain on those devices — NextzChat cannot remotely delete content from other users' devices.
  • Messages you sent in group conversations may still appear to other members but will no longer be linked to your profile.

Request Deletion via Email

If you are unable to access the app, you may request account and data deletion by emailing us at security@nextzchat.com from the email address associated with your account. We will verify your identity and process the deletion within 7 business days.

Privacy Policy

NextzChat ("we," "our," or "us") operates the NextzChat mobile application and website (collectively, the "Service"). This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our Service.

By using NextzChat, you agree to the collection and use of information in accordance with this policy. If you do not agree with this policy, please do not use our Service.

1. Information We Collect

1.1 Information You Provide

  • Account Information: When you create an account, we collect your email address or phone number. We do not require a password — we use magic code authentication.
  • Profile Information: Your display name, profile photo, and any optional profile details you choose to provide.
  • Messages and Content: Text messages, voice notes, photos, videos, documents, and other files you send through the Service.
  • Organization Data: Information about organizations you create or join, including organization names, roles, and group memberships.
  • Event and Task Data: Events you create, RSVP responses, tasks, and associated content.
  • Expense Data: Group expense entries, amounts, descriptions, and receipt attachments.

1.2 Information Collected Automatically

  • Device Information: Device type, operating system, unique device identifiers, and app version.
  • Usage Data: Features used, interaction patterns, and timestamps for improving the Service.
  • Log Data: IP address, browser type, and access times for security and troubleshooting purposes.
  • Push Notification Tokens: For delivering notifications to your device.

1.3 Information We Do Not Collect

  • We do not collect passwords (we use magic code login).
  • We do not read end-to-end encrypted messages — when E2E encryption is enabled for a group, message content is accessible only to group members.
  • We do not sell your personal data to third parties.

2. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service.
  • Authenticate your identity via magic code login and biometric verification.
  • Deliver messages, notifications, event reminders, and task updates.
  • Enable organization management, role-based access control, and group features.
  • Power AI features (AI Composer, smart replies, summarization) to enhance your messaging experience.
  • Enforce community safety through moderation tools, content filtering, and duplicate message detection.
  • Improve the Service through usage analytics and performance monitoring.
  • Provide customer support and respond to your inquiries.
  • Comply with legal obligations and protect our legal rights.

3. Data Security

We implement industry-standard security measures to protect your data:

  • Encryption in Transit: All data is transmitted over TLS-encrypted connections.
  • End-to-End Encryption: Optional per-group encryption ensures only approved members can read messages. Server admins cannot access encrypted content.
  • Row-Level Security (RLS): Database queries are scoped per user — you can only access data within your own organizations and groups.
  • Biometric Protection: Optional Face ID, Touch ID, and fingerprint lock for the app.
  • Session Management: View active sessions and revoke access remotely.
  • Authentication Tokens: All API endpoints are secured with authentication tokens.

4. Data Retention

  • Message Retention: Organizations and groups can set auto-delete policies (24 hours, 7 days, 30 days, or custom periods). When enabled, messages are permanently deleted after the specified period.
  • Account Data: Your account data is retained as long as your account is active. You may request deletion at any time (see Account & Data Deletion).
  • Audit Logs: Moderation audit logs are retained for organizational compliance and may be exported by organization admins.

5. Data Sharing and Disclosure

We do not sell your personal data. We may share your information only in the following circumstances:

  • Within Organizations: Your profile information, messages, and activity are visible to other members of your organizations and groups according to role-based permissions.
  • Service Providers: We work with trusted third-party providers for hosting, analytics, and notification delivery. These providers are bound by confidentiality agreements.
  • Legal Requirements: We may disclose information when required by law, subpoena, court order, or government request.
  • Safety:We may disclose information when we believe it's necessary to protect the safety of our users or the public.

6. Your Rights

You have the following rights regarding your personal data:

  • Access: Request a copy of your personal data.
  • Correction: Update or correct inaccurate personal information.
  • Deletion: Request complete deletion of your account and all associated data. See Account & Data Deletion for instructions.
  • Data Export: Export your organization data for compliance or record-keeping.
  • Opt-Out: Disable optional data collection such as usage analytics.

7. Children's Privacy

NextzChat is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal data, please contact us immediately and we will delete it.

8. Cookies and Tracking

Our website may use essential cookies to maintain session state and preferences. We do not use third-party advertising cookies or cross-site tracking technologies.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make changes, we will update the "Last updated" date at the top of this page and notify users through the app or email for significant changes.

Terms of Service

Welcome to NextzChat. These Terms of Service ("Terms") govern your access to and use of the NextzChat mobile application, website, and related services (collectively, the "Service") operated by NextzChat ("we," "our," or "us").

By accessing or using the Service, you agree to be bound by these Terms. If you do not agree to these Terms, you may not use the Service.

1. Eligibility

You must be at least 13 years old to use NextzChat. If you are under 18, you must have the consent of a parent or legal guardian. By using the Service, you represent and warrant that you meet these eligibility requirements.

2. Account Registration

  • You must provide a valid email address or phone number to create an account.
  • We use passwordless authentication (magic code login). You are responsible for maintaining the security of the email or phone number associated with your account.
  • You are responsible for all activity that occurs under your account.
  • You may not create multiple accounts for deceptive or abusive purposes.
  • You agree to provide accurate and complete information when creating your account and to keep it up to date.

3. Acceptable Use

You agree to use NextzChat in accordance with all applicable laws and these Terms. You may not:

  • Use the Service for any illegal, harmful, or fraudulent purpose.
  • Harass, bully, threaten, or intimidate other users.
  • Send spam, unsolicited messages, or repetitive content.
  • Share content that is obscene, defamatory, hateful, or promotes violence.
  • Impersonate any person or entity, or falsely represent your affiliation with any person or entity.
  • Distribute malware, viruses, or any other harmful software.
  • Attempt to gain unauthorized access to any part of the Service, other users' accounts, or our systems.
  • Interfere with or disrupt the Service, servers, or networks connected to the Service.
  • Scrape, data mine, or use automated means to access the Service without our permission.
  • Circumvent, disable, or otherwise interfere with security features of the Service, including moderation tools and content filters.

4. Organizations and Roles

  • Organization Owners are responsible for managing their organization, including member management, role assignments, moderation settings, and content within their organizations.
  • Organization Admins act on behalf of the Owner with delegated permissions and share responsibility for organization management.
  • Organization Owners and Admins are responsible for ensuring their organization's use of the Service complies with these Terms and applicable laws.
  • We reserve the right to suspend or remove organizations that violate these Terms.

5. Content

5.1 Your Content

You retain ownership of any content you create, upload, or share on NextzChat ("Your Content"). By posting content on the Service, you grant us a limited, non-exclusive, worldwide, royalty-free license to store, display, and transmit Your Content solely for the purpose of providing the Service.

5.2 Content Responsibility

You are solely responsible for the content you send, share, or upload. We do not endorse or verify any user content. Content that violates these Terms or our Community Guidelines may be removed without notice.

5.3 Content Moderation

We provide automated and manual moderation tools including content filtering, duplicate message detection, spam protection, and admin review queues. Organization admins configure these tools for their communities. We reserve the right to review and remove content that violates these Terms.

6. Privacy

Your privacy is important to us. Our collection and use of personal information is governed by the Privacy Policy above, which is incorporated into these Terms by reference.

7. End-to-End Encryption

NextzChat offers optional end-to-end encryption on a per-group basis. When enabled:

  • Only approved group members can read messages in that group.
  • Neither NextzChat nor server administrators can access encrypted message content.
  • Users are responsible for understanding that encrypted messages cannot be recovered by us if access is lost.

8. AI Features

NextzChat includes AI-powered features such as AI Composer, smart replies, message rewriting, sentiment analysis, and thread summarization. By using these features:

  • You understand that AI-generated content is provided as a suggestion and should be reviewed before sending.
  • You remain responsible for all content you send, including content generated or modified by AI tools.
  • We may process message context to provide AI features, subject to our Privacy Policy and encryption settings.

9. Voice and Video Calls

  • NextzChat provides voice and video calling features, including 1:1 calls, group calls, and screen sharing.
  • You agree not to record calls without the consent of all participants, unless required by applicable law.
  • Call quality and availability may vary based on network conditions and device capabilities.

10. Group Expenses

NextzChat provides tools for tracking shared expenses within groups. These tools are for informational and organizational purposes only:

  • We are not a financial institution and do not process payments.
  • Expense tracking is a convenience feature — users are responsible for the accuracy of entries and for settling balances among themselves.
  • We are not liable for any disputes, losses, or financial discrepancies related to group expenses.

11. Intellectual Property

  • The Service, including its design, code, logos, and branding, is owned by NextzChat and protected by intellectual property laws.
  • You may not copy, modify, distribute, or create derivative works of any part of the Service without our written permission.
  • The NextzChat name, logo, and all related marks are trademarks of NextzChat.

12. Account Termination & Deletion

  • You may delete your account at any time through the app settings or by emailing security@nextzchat.com. Account deletion is permanent and includes a complete data wipe. See Account & Data Deletion for full details.
  • We may suspend or terminate your account if you violate these Terms, our Community Guidelines, or applicable laws.
  • We may discontinue the Service or any feature at any time with reasonable notice.

13. Disclaimers

  • The Service is provided "as is" and "as available" without warranties of any kind, express or implied.
  • We do not guarantee that the Service will be uninterrupted, error-free, or secure at all times.
  • We are not responsible for the content, actions, or conduct of users.
  • AI-generated content may contain inaccuracies — users should review all AI suggestions before sending.

14. Limitation of Liability

To the fullest extent permitted by applicable law, NextzChat shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits, data, or goodwill arising from your use of the Service.

Our total liability for any claim related to the Service shall not exceed the greater of $100 or the amount you paid to NextzChat in the twelve (12) months preceding the claim.

15. Indemnification

You agree to indemnify, defend, and hold harmless NextzChat and its officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including attorneys' fees) arising from your use of the Service, your violation of these Terms, or your violation of any third-party rights.

16. Dispute Resolution

Any disputes arising from these Terms or the Service shall be resolved through binding arbitration in accordance with the rules of the American Arbitration Association. You agree to resolve disputes on an individual basis and waive your right to participate in a class action.

17. Governing Law

These Terms shall be governed by and construed in accordance with the laws of the State of Delaware, United States, without regard to its conflict of law provisions.

18. Changes to These Terms

We may update these Terms from time to time. When we make material changes, we will update the "Last updated" date and notify users through the app or email. Your continued use of the Service after changes are posted constitutes acceptance of the revised Terms.

19. Severability

If any provision of these Terms is found to be unenforceable, the remaining provisions shall remain in full force and effect.

20. Entire Agreement

These Terms, together with our Privacy Policy above, constitute the entire agreement between you and NextzChat regarding the Service and supersede all prior agreements.
